The Bulletin of the Atomic Scientists is a media organization, publishing a free daily news website and a digital subscription magazine. But we are much more. The Bulletin’s website, iconic Doomsday Clock, and regular events help advance actionable ideas at a time when technology is outpacing our ability to control it. The Bulletin focuses on three main areas: nuclear risk, climate change, and disruptive technologies. What connects these topics is a driving belief that because humans created them, we can control them. With smart, vigorous prose, multimedia presentations, and information graphics the Bulletin puts issues and events into context and provides fact-based debates and assessments.

The Bulletin is an independent, nonprofit 501 (c) (3) organization. We gather a diverse array of the most informed and influential voices tracking man-made threats and bring their innovative thinking to a global audience. We apply intellectual rigor to the conversation and do not shrink from alarming truths. For 75 years, the Bulletin has bridged the technology divide between scientific research, foreign policy and public engagement.

Position Description

The Bulletin of the Atomic Scientists seeks an Advancement Services Coordinator to support the daily operations of the Advancement Services team. In addition to acting as the Bulletin’s Salesforce database assistant, this position will involve extensive planning and execution of fundraising strategies as assigned by the Chief Advancement Officer. This position reports to the Advancement Services Manager and is located at the Harris School of Public Policy at the University of Chicago.

Key Responsibilities

  • Ensure that the database of donors, prospects, and subscribers includes current and accurate contact information, employment information, giving history, and any relevant cultivation/background information
  • Maintain confidentiality of all database contact records and information in accordance with internal policies and privacy laws
  • Produce regular reports for internal leadership and boards to assist in the monitoring of fundraising progress
  • Enter gift records into Salesforce on a regular basis and produce official donor acknowledgement letters and tax receipts
  • Assist with the preparation of briefing packets and direct mail pieces for donor and prospect stewardship
  • Perform monthly donation reconciliations for the Chief Finance Officer
  • Assist the Program Manager with registrations and communication for special programs and the Annual Dinner
  • Assist with other duties as assigned by Advancement Services Manager and Chief Advancement Officer

Qualifications

  • Bachelor’s degree required
  • Ability to handle sensitive and confidential situations and information with absolute discretion
  • Excellent verbal and written communication skills, a high-level of computer proficiency, and strong internet research skills
  • Interest in international affairs, public policy, science/technology, or related discipline a plus
  • Efficient data entry skills and great attention to detail
  • Previous work experience with Salesforce desirable
  • Advanced proficiency in Word and Excel strongly desired
  • Strong problem-solving skills, and an ability to use appropriate resources to solve an issue
  • Must be comfortable working in a busy office environment and display strong interpersonal skills
  • Ability to maintain calm and courteous demeanor and to work productively despite the heavy workload, competing priorities, and complex problems
  • Flexibility to take on other duties as assigned
